POSITION SUMMARY
Buddha Jewelry is seeking a highly motivated Inventory Coordinator to join our team and support the physical inventory processes, as well as related systems and data. The ideal candidate will understand the direct link between inventory accuracy and exceptional customer service, working to achieve optimal inventory control and ensuring product availability for all sales channels - which includes wholesale (US and International), retail (US), and our sister company RION Jewelry (local in-store and online). This role regularly coordinates physical stock counts for both Buddha Jewelry and RION Jewelry.
MUST HAVES
- 3+ years experience in inventory, distribution + operational procedures and best practices
- High level of attention to detail, timeliness and accuracy of work product, and the ability to maintain effective organization - product, self, and department.
- 100% in-person position
- Reliable transportation between Seattle and Kirkland for weekly studio visits
ESSENTIAL DUTIES AND RESPONSIBILITIES
General & Departmental Collaborations:

- Contribute to sound, productive, and timely communication between the Departments – especially as it pertains to how our products can deliver the best possible customer experience every time.
- Support the Department to preserve and protect accurate technical and product data stored across all accessible databases.
- Build fruitful and reliable relationships with team members and all vendors.
Physical Product Management:
- Continuously and comprehensively learn our ever-growing catalog of products – function, materials, and care.
- Support maximum inventory control and maintain a comprehension + appreciation for these controls that will benefit the customer and sales experience.
- Ensure all inventory management controls are implemented and set up for success in each DC.
- Conduct and coordinate regular physical inventory counts across all channels and all locations.
- Collaborate with Sales Team to effectively manage mobile inventory cases.
- Track and monitor stock movements in order to ensure order, accuracy, and data integrity.
Quality Assurance Support:
- Learn + maintain fluency in Quality Assurance (QA) standards and expectations from the Production Team and be able to identify any potential QA issues.
- Collaborate with QA Assistant to support all QA efforts ranging from QA checks, materials testing, and auditing info in all customer-facing areas (product tags, website, etc.).
Systems:
- Help to maintain accurate and up-to-date product lists, details and status in all databases.
- Learn naming conventions and item set up requirements to create new items. Consistency is paramount for shopability (customers) and usability (internal teams).
- Pull insightful data and reports to drive and/or discover inventory related trends - sales & sell through, allocations, and shrinkage (also reorder points and merchandising at RION Jewelry).
RION Jewelry:
- Monitor inventory levels and Studio communications to prevent stockouts in-store and online.
- Consistently audit delivered product from all vendors to ensure it meets RION Jewelry expectations and standards.
- Support orders with new jewelry vendors - track delivery dates, and inform/prepare Studio and systems for incoming jewelry.
- Coordinate priority access to all new Buddha Jewelry collections for RION Jewelry store, coinciding with priority fulfillment.
QUALIFICATIONS, SKILLS, AND ABILITIES

- High level of attention to detail, timeliness and accuracy of work product, and the ability to maintain effective organization - product, self, and department
- Critical thinker and able to discern when additional attention is needed, and call it out
- Comfort with multi-tasking in a deadline-driven environment, managing time to maintain high levels of productivity autonomously and as part of a team
- Enjoy research and finding the root cause of any issue in effort to find the best resolution for it
- Ability to analyze Inventory processes from both a micro and macro perspective
- Clear written and verbal communication skills
- Highly receptive to giving and receiving feedback for positive progress
- Tech-savvy, proven competence with Inventory Management Systems, as well as Excel and/or Google Sheets to proficiently compile, organize, and analyze data
- Reliable transportation for weekly visits to our Kirkland, WA studio
